This policy explains what personal data Octalcode ("we") collects through octalcode.com, why, and what you can do about it.
Who we are: Octalcode, Office 1002, Haly Tower, R Block, DHA Phase 2, Lahore, Punjab, Pakistan. Email: info@octalcode.com. We are the controller of the data described here.
What we collect and why
1. When you send us a project brief
We collect your name, company, email, phone number (optional), the budget range you choose, what you need, and anything you write in the message. We use it to reply to you, scope your project and keep a record of the conversation.
The form is delivered to us by Formspree (formspree.io). If sending fails, your own email app opens instead, with the same details addressed to info@octalcode.com.
Legal basis (GDPR and UK GDPR): steps you ask us to take before a contract, and our legitimate interest in answering enquiries.
2. When you email or call us
We keep what you send us, to reply and to keep a record. Legal basis: legitimate interest, and contract if we work together.
3. When you book a call
Booking runs on Calendly (calendly.com), either embedded on our contact page or on Calendly’s own site. Calendly collects your name, email, the time you pick and any answers you give, and shares them with us so we can hold the call. Calendly’s own privacy policy applies to what it does with that data. Legal basis: steps you ask us to take before a contract.
4. When you use the chat assistant
The messages you type in the chat widget are sent, through our server, to Anthropic’s Claude API to generate a reply. We do not save chat conversations. Anthropic processes them under its commercial terms. Please don’t share sensitive personal information in the chat. Legal basis: legitimate interest in answering your questions.
5. When you browse the site (analytics)
Only if you click "Accept analytics", we use Google Analytics 4 to understand which pages are read and whether the contact form and booking links are used. Google Analytics then sets cookies and receives information about your device, browser, approximate location and the pages you visit. It does not give us your name or email. See the Cookie Policy. Legal basis: consent, which you can withdraw at any time.
6. Server logs
Our host, Netlify, records standard technical data (such as IP address, browser and the page requested) to deliver the site and keep it secure. Legal basis: legitimate interest in running a secure website.
We do not sell your personal data, and we do not use it for advertising.
Who we share it with
Only the service providers that run the features above, each acting for us or under its own terms:
- Formspree (form delivery)
- Google (Analytics, only with your consent)
- Calendly (booking)
- Anthropic (chat replies)
- Netlify (hosting)
- Our email provider (for info@octalcode.com)
We may also share data if the law requires it, or to protect our rights.
International transfers
These providers are mostly based in the United States, so your data may be processed outside your country. Where the law requires it, the transfers rely on the providers’ standard safeguards, such as the EU Standard Contractual Clauses or the EU-US Data Privacy Framework.
How long we keep it
- Enquiries and emails: up to 24 months after our last contact, or for the length of any engagement plus the period required for tax and legal records.
- Analytics: 2 months, as set in Google Analytics.
- Chat messages: not stored by us.
- Server logs: as long as Netlify keeps them for security and operations.
Your rights
Depending on where you live (for example under the GDPR in the EU or the UK GDPR), you can ask us to:
- give you a copy of your data
- correct it
- delete it
- restrict or object to how we use it
- move it to another provider
You can also withdraw consent to analytics at any time, using "Cookie settings" in the footer.
To make a request, email info@octalcode.com. We will reply within one month. You can also complain to your local data protection authority.
Children
The site is for businesses and is not directed at children under 16. We do not knowingly collect their data.
Changes
If this policy changes, we will update the date at the top. Significant changes will be noted on this page.
